LOAD-IN

Option 1: Direct to Site Shipping to Jackson Park (recommended)

**If your brand is exhibiting at both the Expo and Finish Festival and has separate products or materials designated for the Finish Festival, we strongly recommend utilizing the Direct-to-Site Shipping option. Shipping Finish Festival-specific items directly to Jackson Park helps reduce demand on the Chicago Half transport truck, streamlines event logistics, and allows our operations team to deliver your materials directly to your booth space for an easier load-in experience.

Exhibitors may ship booth materials directly to Jackson Park on Friday, September 25, to simplify event load-in. Upon arrival, the Life Time Operations team will transport your shipment directly to your assigned booth space for setup during exhibitor load-in on Saturday afternoon or Sunday morning.

If you plan to ship materials, please provide your shipment details and tracking information to your Account Manager as soon as they are available.

Option 2: Drive in

Exhibitors who need to unload larger booth materials may drive into Jackson Park during the designated vehicle load-in window.

Vehicle Load-In
Saturday, September 26 | 1:00 p.m. – 4:00 p.m.

Important Information

• Vehicles are not permitted to drive on the grass within the Finish Festival.
• Enter Jackson Park from Lake Shore Drive at Hayes Drive and proceed westbound on Hayes to the first parking lot on the north side of Hayes Drive.
• Upon arrival, call or text Karissa at (612) 619-2755 for access instructions.
• Once unloading is complete, vehicles must immediately exit the park.

Option 3: Transport of items from the Expo

Exhibitors participating in both the Expo and Finish Festival may transport materials using the official Chicago Half truck.

• Materials will be loaded onto the truck following Expo breakdown at approximately 9:00 p.m. on Saturday.
• Exhibitors must remain with their materials until they have been loaded onto the truck.
• This option must be requested on the Expo Reservation Form and is subject to truck capacity and prior approval.
• The truck will arrive and unload at Jackson Park at approximately 4:00 a.m. on Sunday, September 27.

Option 4: Hand carry equipment into Jackson Park

Exhibitors with minimal booth materials may hand carry their equipment into Jackson Park on Sunday morning.

All booths must be fully set up and race-ready by 7:30 a.m.

*Please note: Life Time is not responsible for lost, damaged, or stolen materials.

POST-EVENT LOAD-OUT

• Load-out begins at 12:00 p.m. following the Finish Festival. All exhibitors must remain fully operational until 12:00 p.m.

  • Vehicle access during load-out will be controlled based on traffic flow.
  • Vehicles may not block exhibitors, pedestrian routes, or official race vehicles.
  • Any unattended or abandoned vehicles are subject to towing at the owner’s expense.
  • Shipping services will not be available following the event. Exhibitors are responsible for removing all booth materials.
  • All trash and discarded materials must be bagged and placed along the curb or in designated trash and recycling receptacles.

VEHICLES

Vehicles are only permitted in Jackson Park during the designated Saturday, September 26 load-in window.

No vehicles will be allowed inside the park at any other time. Please refer to Option 2: Drive-In Load-In above for complete vehicle instructions.

TENT ASSIGNMENT

Tent locations will be assigned by Life Time based on sponsorship level, contracted footprint, and product category.

Final booth assignments will be distributed 1-2 weeks prior to the event.

TENT SET UP & RESTRICTIONS

• All booth materials must remain within your assigned footprint.
• Booth displays may not obstruct neighboring exhibitors, walkways, or sightlines.
• Handouts, flyers, signage, or promotional materials may not be distributed outside your assigned booth space.
• Any custom tent structures or special installations require prior written approval.
• Booth space may not be sublet or shared without written approval from Life Time.
• Vehicles are prohibited as part of a display unless pre-approved by Life Time.
• This is an outdoor event. All tents must be properly weighted.
• Exhibitors using their own tents must provide a minimum of 25 lbs. of weight on each tent leg.

INCIDENTALS

Exhibitors are responsible for transportation, parking, equipment, and any additional operational needs associated with their booth.

If you require additional equipment or services (including, but not limited to, power, ice, tables, chairs, or other operational support), please submit your requests using the form linked below. Life Time will coordinate these requests and any associated costs may be billed back to the exhibitor.

FOOD & BEVERAGE

Food or beverages may not be sold, served, sampled, or distributed without prior written approval from Life Time Race Management.

PRODUCTS & MATERIALS

Products featuring the event name, logo, or branding may not be sold, displayed, or distributed without prior written approval.

Life Time reserves the right to remove any products, displays, materials, or conduct deemed objectionable or in conflict with event sponsors or event safety standards.

PARKING

Please notify Karissa of the number of parking passes your team will require on race day.

Designated sponsor parking will be available, and security personnel will direct exhibitors to their assigned locations.

Race Day Driving Directions

From the North

• Lake Shore Drive closes at 31st Street beginning at 6:00 a.m.
• Before 6:00 a.m., exit at 57th Street to access parking garages and street parking.
• After 6:00 a.m., exit at 31st Street, travel west to King Drive, then continue south to 55th Street.

From the Dan Ryan Expressway

• Exit at Garfield Boulevard and proceed to Midway Plaisance.

From the Chicago Skyway

• Exit at Stony Island Avenue and continue to Midway Plaisance.

FIRE, SAFETY & HEALTH REGULATIONS

Exhibitors are responsible for complying with all applicable federal, state, county, and local fire, health, and safety regulations and for maintaining appropriate fire safety precautions within their booth.

SECURITY

Security personnel will be on-site throughout the event, including overnight on Saturday.

While reasonable security measures are provided, Life Time is not responsible for lost, stolen, or damaged property.
